RECEIPTS | -Watch one talk finance line and breezeway for receipts. -Log all on appropriate spreadsheets. -Assist with collection if needed. -File on Drive as necessary and in file folder |
PAYROLL | -pull buildertrend & breezeway report. review all comments and track the additional income hours & receipts. log. -confirm chargebacks are collected, including additional cleaning. -organize breezeway report in master accounting log |
CHARGE FAILS | -weekly pull change fails. confirm payments go through. send out reminders, have cs assist with responses. |
ACCOUNTING | -Balance QB invoices with bank accounts |
BUDGET | -Keep track of spending, costs, fees, income and balance a budget -Verify credit card charges |
BILLABLES | -Pull Breezeway report of Billables -Insert into necessary invoices and statements |

DEEP CLEANINGS | -Send out deep clean reminders and emphasis to cleaners |
VISITS / TRAINING | -Visit / train cleaners in field based on schedule (bring extra cleaners if needed + cleaning supplies) |
NEW CLEANER TRAINING | -Training cleaner approx. 1 hour and returning to check when finished -Complete training with all added details missed by cleaner |

PHONES | -One Talk line: Answer all calls, texts, and return any missed calls -Watch all channels for messages, inquiries and respond -Troubleshoot issues, assist guests with their needs -Create/modify guest reservations and properly charge -Assist homeowners -Forward calls to correct office personnel as needed -Improve guest and owner relations -Support cleaners, liaison between cleaners, on-site and office |
EMAILS/MESSAGES | -Check, respond to and keep all emails organized in the Contact email |
CHARGE VERIFICATION | -Verify all charges are captured and holds are held -Back charge guests (when needed) -Issue refunds (when needed) -Make a list of items needing repair, create a task, and charge guests damages |
BREEZWAY TASKS | -Create breezway tasks for on-site, cleaners, office personnel as needed -Evaluate monthly maintenance and deep cleans -Evaluate photos on channels and review inventory lists -Contact the homeowner, update, get approval for anything needed, and follow up with homeowner |
WEEKLY TRAINING MEETINGS | -Take notes at all meetings, review and ask questions at the next one. -Follow the CS Handbook for all training and information |

SIGNATURE PIECES | -Thank you cards: For homeowners that just bought a house from us or are using our management, -Stop by and say hi: Mostly for real estate, incorporate logo almost like a business card with all our contact information but it’s dropped off to a builder for example with a treat of some sort. -Property management Ad: Signature piece that we can print for multiple of things like a foldable place card -Real estate Ad: Same thing as the property management Ad -Real Estate folders: Simple folder for agents to give to clients with the Real Estate logo -Pens: with Real Estate logo -Other ideas of getting our name out there |
